Is there any way we can come up with a good number estimate of participants? I feel like it will be easier to get sponsors and plan once we know a budget, but we need to know attendance to figure out a budget. Thoughts?

I'm guessing sponsors are going to want to know how many people will attend, and demographics, etc. It will help "sell" the sponsorship if they feel like it is mutually beneficial.

How does this sound for a "goal/agenda" for a sponsorship letter?

A social gathering celebrating people on the autism spectrum. It will bring together people from all corners of the country to meet others on the spectrum. It will focus on creating a sense of community and support for people on the spectrum as well as their families and friends. This festival will include key-note speakers, live music, talent contest, a singles ball, as well as a variety of other programs for all groups and ages.

Coming up with a list of why sponsorship is beneficial to sponsors would also be helpful.

I think some sort of cool/quirky/unique name for the gathering would be good, to make the event its own entity. Like one-two words that would represent the idea of this convention.

I think it would be beneficial to develop a clear list of objectives, then designate teams, each with a specific goal. Here's what I'm thinking so far...

- Compile a List of Potential Sponsors

- Compile a List of Potential Speakers and Featured Participants

- Compile a List of Activities

So far we have a dance, special interest groups, workshops (I'm particularly excited about autistic talent in the workplace), a talent show, etc...

- Write a Formal Invitation to Potential Sponsors

I will try and complete this myself tomorrow. As I've mentioned, I've already been in contact with multiple organizations. I would like to put together a concise and engaging summary of our mission to be presented to each of our potential sponsors.

- Contact Potential Sponsors

- Estimate Attendance

- Estimate Budget Details (this will take time)

- Formulate Individual Sponsorship Request Criteria

Each individual who would like to receive monetary support to travel and participate (both autistics and family) will submit a written or videotaped entry offering a creative explanation of their motivation for attending, what they hope to contribute, and how participation will impact their lives. Ideas?

Remember guys, there are tons of ways to raise money. Think of how people get sponsored for fundraising walks? Funds can be gathered from large organizations, or local ones, families, friends, neighbors, and so forth... How bad do you want it?

- Plan a Solid Marketting Strategy

- And MUCH more!

This kind of event will require massive energy and focused coordination.

I know! I started researching how to put this together last night and became quickly overwhelmed! Many organizations hire companies to gain sponsorships, and we are trying to do it on our own. The list of duties is crazy, too. I'm guessing we will also need to have a lawyer handy to work out contacts and liability issues.

Here's some duties to think about

- Head of finances (preparing the budget, providing the money for the
conference);
- Head of programme (what would be the programme like, getting in touch with
the guests, lecturers, participants of the round tables…);
- Head of accommodation (reservation of the hotel and everything concerning the
staying of participants at the location, meals,);
- Head of logistics (transport hotel-faculty-hotel and around the city, sight seeing,
night life…);
- Head of technical support (preparation of classrooms, audio-video equipment,
info-point, photocopying…);
- webmaster;
- Head of public relations

Maybe there should be a whole page on WP for this, where everyone can see info on the planning.
And a section in the forum.
Rather than just one thread, buried in "Getting to know each other"
This thread should also be stickied.

Awesome suggestions for duties! These are exactly the kind of ideas we need!

I'd love to head up PR, but am terrible with numbers. Content and marketting is my thing. I'm dedicated, determined, and have a lot of preexisting contacts. I'm good at working with people, generating enthusiasm, raising funds, and coordinating media.

I can sell ice to an Eskimo but I can't book a hotel room to save my life. We all have special abilities - let's use them!

We need to organize the objectives into categories, assign teams and team leaders, and start getting things accomplished!

I'm sure many organizations will become involved, but I'd like to have as many autistics in important positions as possible. That's the point, right?

Also, we do need that really good, quirky, catchy name. Alex had some ideas. What are you guys thinking? We need something that suggests a celebration, an epic autistic gathering. It has to be fun, easy to remember, and inspiring. Also, it will have to look good on posters and websites.

I can help with building a list of potential contacts and organizations. I'm in Southern California so contacts would get more vague the further they get from me, but I can take a stab at it by just doing extensive internet searches. Should I focus more on contacts near the LA and LV areas or throughout United States?

Au-spirational Autistic Summit

International Au-spirational Autistic Summit

The Right Planet (would definitely grab people's interest/attention - because they'd want to know the story behind the title)

International Wrong Planet Autism Conference (if you want to be boring and conservative)


I actually think some sort of play on the name of Wrong Planet/Right Planet could be quite clever and very relevant. I guess it depends whether you want to lean more in the direction of entitling it as a WP conference, or go more general/broad and call it an Autistic conference.

I really sort of like "The Right Planet" or something along those lines. I think it is a great suggestion - we all join together to form the right planet for a few days.

I think that is a fantastic suggestion. What does everyone else think? Should it be tweaked a little? Any other ideas?
