Optimal time before scheduling a date
First the preamble:
I recently went to a pop culture convention and had a pretty good time, I told my work mates about it and one girl said that she would have loved to have went there too. I said that there was a similar one and if she were interested I was going to go and she should go too. She has now blocked the day out in both our calendars to make sure we don't make other plans.
The issue is that this convention is not for another 2.5 months.
This sounds like a great opportunity and being a single guy makes the prospect even more intriguing but logically I must realise that at 2.5 months in advance this can't be considered a date. Instead I should view this with the perspective that she genuinely wants to go to the convention for the convention and not for me however this does not mean I can't turn this into a date (should be as easy as pulling a giraffe from a unicorns nose).
My Question:
The above event has made me question how long in advance a legitimate first date can be scheduled and the difference between a date and a friendly meet up. For the purpose of this question I would like to know your perspective on what is the optimal timeframe a legitimate first date be organised (as in no longer than two weeks ahead etc.).
Any other insights are welcome too.
Thankyou for your time.

Time frame is largely irrelevant. The convention could still be a date. The thing that separates dates from friendly outings is both parties thinking it is one, that's all.
That said, I don't recommend you ask her if it's a date or not. It's an awkward question that probably turned many a date into a non date.
